Eastern New Mexico University is committed to enhancing student development through academic and co-curricular programs and activities. The University, through various departments, support student organizations and reserves the right to plan and implement activities/events that supplement the educational experience for all students.
When planning events, it is in the best interest of the student organization to be concerned with potential liability and safety. In addition to the general policies and regulations outlined previously an in keeping with our desire to promote successful student activities, ENMU endorses the following guidelines concerning facility usage and reservations.
A. Definitions
- Structured Events- An event which has a planned program or agenda and at which the audience is seated. Typical examples are: formal or semi-formal "drop in" receptions, fashion shows, concerts, dinners, theatre productions and general meetings.
- Unstructured Events- An event which does not have a planned program or agenda. Typical examples are dances and parties.
- Closed Organizational Event- An event designed to foster a sense of social, educational and cultural development for the University community and is only open to organizational members and a specific list of guest.
- Closed University Event- An event designed to foster a sense of social, educational and cultural development for the University community and is only open to University students, faculty and staff.
- Open Event- An event designed to draw a crowd from the community at large. May be formal or informal. Typical examples are dances and parties.
B. Security Requirements
The sponsoring organization will be responsible for all cost associated with security. Security may be required for the following types of events:
- Unstructured Events
- Open Events
C. Additional Fees
Events required special set-up and/or special equipment or security may be charged overtime for labor cost or equipment cost.
D. General Guidelines
All events:
- An approved activity/facility reservation form must be submitted at least two (2) weeks in advance.
- Reservations should be made in person when requesting special set-up or services.
- Organizations will be responsible for adhering to all policies regarding security, conduct and damages as per section title "Event Security Facilities Regulations" and "General Policies of the Campus Union" of this manual
- Attendance at events will be limited to the posted room capacity.
- The sponsoring organization will be held liable for damages to the facility and equipment
- Reservations will be made on a first-come first- served basis. The Campus Union staff in concert with the organizational advisor and/or president will resolve scheduling conflicts.
- Outside loitering will be monitored by staff at all times during an event.
Closed Organizational Events
- Organizations may be required to provide the Office of Campus Union with a guest list prior to the event.
- Organizations may be required to have a designated monitor at the door to check identification and accept admission fees (if applicable) for the duration of the event.
