President's Holiday Reception Set – The President's Holiday Reception will be from 9-11 a.m. this Friday, Dec. 10, in the Campus Union Ballroom. The University community is invited.

Donations of Hats, Gloves, Coats Sought – The ENMU P/GS organization (student organization in Family and Consumer Science) is sponsoring a Warm Hearts/Warm Hands campaign to collect donations of hats, gloves, or coats for the children of Portales. The items will be donated to the Portales Children, Youth, and Family Services to be distributed as needed. There are several drop-off locations on campus including Eddy Hall, Bernalillo Hall, and the Lobby of the Family and Consumer Sciences building. Come check out our warm tree in the FCS building and help us collect items for the children of Portales. Thanks!

International Students Holding School Supply Drive for Children in Iraq – Crayons, paper, pencils and pens are needed to help brighten up some schools being rebuilt for children in Iraq. International Affairs at Eastern New Mexico University is seeking donations of school supplies through Dec. 14 for children in Iraq. The donations will be sent to Army military members who are rebuilding schools that have been devastated during the ongoing war. Donations can be placed in a drop box in the Student Success Center located in The Alley of the Campus Union Building. “We are asking for anything people want to bring, even if it’s just one box of Crayons. We’re not asking for a lot,” said Rosa Zamora of International Affairs. “I believe that if somebody contributes at least one little thing, then that is a lot.”

Opportunity to Help Local Kids with Christmas Gifts – The Annual Mayor's Christmas Tree at City Hall holds the names of local children. Donors are being sought to pick a child's name off the tree and register with the ladies at the front counter. The gifts need to come back to City Hall for Santa Claus by Dec. 6 (or as close to that date as possible) because he is delivering the afternoon of Monday, Dec. 13. The sooner the gifts are received the better. Santa Claus and the children of Portales need your help. If you have any questions, call Veda Urioste at 356.6662, ext. 18.

Commencement Reception Set for December 17 – A Commencement Reception for ENMU graduates of Fall 2004 will be Friday, Dec. 17, from 4-5 p.m. in the Ballroom of the Campus Union Building. Families, friends, faculty and staff are also invited. The reception is sponsored by the ENMU Alumni Association.

Student Health Services to Close for Holidays – Student Health Services will be closed from Friday, Dec. 17 until Tuesday, Jan. 18. Please call and make an appointment now if you are needing to be seen for medication refills, birth control pick-up, Depo's etc. Merry Christmas to all, be safe and see you in 2005.

Web Guru Classes Offered in January – A series of Web Guru classes will be offered Jan. 10-14 to employees of ENMU. These classes will teach you how to use Dreamweaver to update ENMU web pages. For more information or to sign up for a class, go to http://www.enmu.edu/webguru.

Dead Week Test Survival Workshop Set for December 10 – Nontraditional/Re-entry Educational Services is offering Dead Week Test Survival Workshop. Treat yourself and your test anxiety (munchies provided). Come join us; you'll be glad you did. The guest presenter, Susan Larsen, LPCC Trio Career Counselor. The workshop will be held from 2-3:30 p.m. on Friday, Dec. 10, in the Sandia Room in the Campus Union Building.

Bad Weather Announcements – If ENMU has a delay in opening due to bad weather, employees and students can find out details by calling 505.562.4636. Also, Communication Services contacts all area media. Broadcast e-mails and phone messages are also sent to all employees' offices. If there is no delay, no announcement is made.

ENMU Installing 'Intranet' – ENMU is installing a new web system to keep our ENMU internal forms and information separate from the public web site. This kind of system is called an intranet. To keep the new system from being confused with the current internet, we're holding a naming contest to let the campus choose what to call the new site. Names already suggested include HoundNet, SilverNet, and InsideENMU. Please send an e-mail to Adam.Morrison@enmu.edu to let him know what you think the new system should be called. Next week we will announce the suggested names in the Monday Memo and let faculty and staff vote for the best one. You can find more information about the new system at www.enmu.edu/intranet.

Payroll Reminders and Deadlines

2004 Flexible Spending Accounts

Flexible Spending reports have been mailed to all 2004 participants. Employees are reminded that the money in their Flexible Spending Accounts must be used by December 31. Any unused money left in an account will be forfeited. (Employees have 90 days after the end of the year to submit their reimbursement requests.)

Distribution of December 31 Payroll Checks

December 31 payroll checks will be distributed at the ENMU Post Office between 9:00 and 11:00 A.M. on Friday, December 31. Checks that are not picked up on that morning will be available for distribution when the University opens on Mo Advanced Earned Income Creditnday, January 3, 2005.

2004 Form W-5's expire on December 31, 2004.
Employees who receive advance payments of the Earned Income Credit must file a new Form W-5 each year. To be reflected on the first payroll of 2005, the form should be completed in the Payroll Office by Monday, December 20.

UNUM (Formerly Commercial) Life Insurance Premiums
Age-up premium increases for UNUM Life Insurance will begin in January.

W-2 Addresses
All employees, including student employees should make certain that Payroll has the correct mailing address on file. To keep your 2004 W-2 from going astray, please report any address changes to Payroll by Monday, December 20. (The 2004 W-2's will be mailed by January 31, 2005.)

Deadlines for the December 31, 2004 Payroll

The paperwork deadline (Pans, W-4s, Insurance forms, Special Pay Slips, etc.) has been changed from 5 P.M. Monday, December 20 to 12 P.M. Monday, December 20. Timesheets will be available for pickup by 1 P.M. Tuesday, December 21 and must be completed and returned to Payroll by 1 P.M. on Wednesday, December 22.

Deadlines for the January 14, 2005 Payroll
The January 3 paperwork deadline for the January 14 payroll will be unchanged.

Vision Insurance Open Enrollment
Interested employees who are not currently covered by the ENMU Vision Insurance Plan (VSP) may enroll for 2005 coverage. Applications for January deductions (February coverage) must be completed in the Payroll Office by Monday, December 20.

Medical Premium Tax-Shelter Plan

ENMU's medical premium tax-shelter plan is on a calendar year basis. If you currently have your premiums tax-sheltered and wish to cancel the tax-shelter or if you would like to begin to tax-shelter your medical premiums in 2005, the appropriate documents need to be completed in the Payroll Office by Monday, December 20.

United Way Campaign: Only One Week Left – The Roosevelt County United Way Campaign is underway at ENMU and we still need your support. So far, we have received pledges from 52 individuals on campus with total contributions exceeding $5,800. The campaign on campus officially ends on Friday, Dec. 10, so please make your contribution today. Remember, if you live in Clovis, you can make your contribution to the United Way of Curry County using a designation on our form. Also, remember, our corporate cornerstone members pay our administrative costs so that 100 percent of your contribution goes to charity. Defensive Driving Course Offered – A final time has been set for this semester to take the Defensive Driving Refresher Course. The class will be offered on Friday, Dec. 10 from 5-9 p.m.

Anyone interested in attending needs to contact the Physical Plant at 2511 to sign up. Class size is limited to 30 people so sign up early. Remember that anyone who drives a vehicle for university business, whether an Enterprise car or one of the fleet vehicles, is required to have a current defensive driving card with them: this includes all faculty, staff, and students.

ENMU Employee Would Like Your Used StampsDarren Pollock, a biology proffesor, is also a stamp collector. He would like for you to please save any stamps you get in your daily mail deliveries. You could either save the empty envelopes or cut stamps off the envelopes (even the terribly common flag stamps). He "would really appreciate it." He is trying to get a stamp club going (very difficult in a small town), and needs some stamps to give to the kids. Any and all stamps will be "gratefully accepted." Payroll Deadline Changes

December 17 Payroll

The deadlines for the Dec. 17 payroll will be unchanged.

December 31 Payroll
The deadlines for the Dec. 31 payroll have been changed to accommodate the Holiday.

The paperwork deadline (PANs, W-4s, Ins. Forms, Special Pay Slips, etc.) has been changed from 5 p.m. on Monday, Dec. 20 to noon on Monday, Dec. 20. Timesheets will be available for pickup in Payroll by 1 p.m. on Tuesday, Dec. 21. Timesheets must be completed and returned to Payroll by 1 p.m. on Wednesday, Dec. 22.

Spring Schedule Available on Web – The Spring 2005 Schedule is available on the ENMU Web at https://ad05.enmu.edu:7177/200420.htm.

Proper Way to Submit Authorized Absences Authorized Absences cannot be submitted simply by sending an announcement to the Monday Memo. Electronic forms from the Monday Memo Web site must be used. The forms automatically go to Student Affairs for approval, and are then directed to the Monday Memo for publication.

Online Request Form Available for Publications – Communication Services has a new online request form for publications with no more inconvenient PDFs to print out. You can attach files, choose paper and ink types (and more) and then submit it online. Go to www.enmu.edu/publication_request to request your official university publication.

Work Orders May Be Submitted Online – Work Orders may be submitted online. If you will begin at ENMU home page/campus services / additional services / Physical Plant, you will see a link on the left that says Work Orders. If you have any questions, call 562.2511 for more information.

Campus Police Provides Escort Service for Students – If a student needs an escort to their car, dorm or classroom, ENMU has an escort service available during the hours of darkness. For escort services, call Campus Police at 760.2945.

How to Reach Campus Police After Hours – To reach the Campus Police Officer on duty after 5 p.m., before 8 a.m. and all day Saturday and Sunday you can call the officer on his cell phone number at 760.2945. If for some reason you are unable to reach the officer on that number, call the Portales Police Department at 356.4404 extension 0. The dispatcher will then send a Campus Officer to your destination to assist you.

ENMU Offering CLEP Testing Program for Military – Military service members can now take CLEP exams, without paying the exam fee (normally $55), at Eastern New Mexico University. Service members will still need to pay a registration fee of approximately $15 to ENMU. CLEP is also available to military dependents and civilians who are interested in taking CLEP exams but these candidates are responsible for paying the exam fee of $65. In Portales, New Mexico candidates can take CLEP exams in Room 204 of the SAS Building at ENMU. Testing is available: Dec. 14, 15, 21, 22. The tests are administered at 8 a.m., 10 a.m., 1 p.m., and 3 p.m. on Tuesdays and Wednesdays. Candidates can make an appointment by calling the Testing Center at 505.562.2280.

Dual credit enrollment registration for high school students attending ENMU-Roswell during the spring 2005 semester will be held on Tuesday, December 7 from 5:30 p.m. until 6:30 p.m. in the Student Services Center lobby on campus.

At ENMU-Roswell, more than 200 area high school students each semester get a head start on their college education through dual credit enrollment. This program allows high school students to earn college credit while attending high school. Students may enroll in up to six credit hours per semester.

High school students must submit a completed Concurrent/Dual Credit enrollment application to the ENMU-Roswell Office of Admissions and Records or other designated campus representative before the start of each semester. This form must be submitted even if the student is taking classes for college credit only. For more information about concurrent/dual credit enrollment, students should contact their high school counselor or the ENMU-Roswell Advising Center at 624-7164.

Eastern New Mexico University-Roswell will hold a special spring registration session for Artesia residents on Monday, December 6. Admissions’ staff and advisors will be available to assist students with registration at the Artesia Center for Workforce and Community Development at 602 W. Texas from 4:30 p.m. to 6:00 p.m. General registration for the spring semester continues in the Admissions and Records office on campus during regular business hours: Monday through Thursday from 7:30 a.m. until 6:00 p.m. and on Fridays from 8:00 a.m. until noon. The Eastern New Mexico University-Roswell Foundation will be presented with a check on Thursday, Dec. 9 to be used towards the College Access Program Scholarships or CAPS. The check presentation will be held in the Fireplace Room in the Campus Union Building at 1:30 p.m. The money was raised from the ENMU-Roswell Scholarship Golf Tournament held October 16 at the Spring River Golf Course. The tournament was a great success with 24 teams participating. Numerous businesses and individuals also supported the tournament as corporate or hole sponsors.

The goal of CAPS is to give every student in Chaves County schools the opportunity to attend ENMU-Roswell after high school graduation. This past school year, the ENMU-Roswell Foundation sponsored $50 scholarships for every graduating fifth and sixth grader from Sunset Elementary School. Students will receive an additional $50 for each year of school completed through high school graduation. Beginning this school year, the scholarships will begin in the fifth grade, with students receiving their first $50 when they graduate. The ENMU-Roswell Foundation will transfer the funds to graduating seniors once those graduates have enrolled in classes at ENMU-Roswell. The funds can be used for tuition, fees, books, supplies, and tools as needed. Interest accumulated by the combined fund for each specific class will be divided among students who remain in the cohort and enroll at ENMU-Roswell. High school students can use the scholarship funds prior to graduation, if the money is used to pay for concurrent enrollment costs while they are in high school. GED graduates will not be eligible to use the funds. If a student does not finish high school, the funds placed in the account will be returned to the scholarship program. Graduates must use the scholarship funds within two years of graduation, or they will be returned to the scholarship program. Students must graduate from a high school in Chaves County in order to receive the scholarship funds.

“CAPS is a wonderful way to promote high school graduation, decrease the drop-out rate, and increase the college participation rate.” said Dr. Judy Armstrong, ENMU-Roswell Provost. She said other businesses and organizations are also being recruited to join the program. “In school year 2004-05, we hope that at least four Chaves County schools will be included in the program and at least four schools in Chaves County will be added each subsequent year until all of our county schools are a part of CAPS,” she said.

ENMU-Roswell student Deserrea Singleton has been selected to receive the ENMU-Roswell Master Student Award for 2004. Her essay won the local competition in a scholarship contest sponsored by Houghton-Mifflin College Survival, publishers of the textbook used for the required University Studies courses, ‘Freshman Seminar’ and ‘Success Skills for Health Careers’ at ENMU-Roswell. The contest was open to all students in those classes in 2004.

Singleton’s essay, written on the topic of success, has now been entered in the national competition for three $1000 tuition reimbursement scholarships from Houghton-Mifflin Student Success Programs. Her essay was chosen as the best by a team of judges: Dr. Don Burleson, Faculty Director of the Developmental Studies Lab; Dr. Nicholas Macaluso, English instructor; and Diane Klassen, Director of Learning Technologies. Singleton is a student in Jan Tharp’s Freshman Seminar class this fall.

Alan Trever, Electronic Publishing Technology instructor at ENMU-Roswell, was recently voted into the State of New Mexico International Alliance of Theatrical Stage Employees (IATSE) for moving picture technicians. The New Mexico chapter 480 is based in Santa Fe. The process to become a member of IATSE is very difficult and membership is considered an honor, according to Trever.

Only three schools in New Mexico have film schools with union support. “With me getting voted in to IATSE, we now have the opportunity to work with Santa Fe Community College (SFCC), Technical Vocational Institute (TVI) in Albuquerque, and the New Mexico Film Council to make ENMU - Roswell the third film school,” said Trever. He plans to meet with other instructors and state film council representatives in Santa Fe to determine what film technician training can be implemented at ENMU-Roswell. SFCC started its 36-week film tech program last month. TVI is starting its program in January. “I hope to be able to start our program by February,” said Trever. “This is good news for our students and for New Mexico as a whole because there are four large movie projects coming to the state and one of these will be coming to our area,” he said.

Trever said union officials are also concerned about the need for sound stages. “In order to stay competitive with training and luring new films into New Mexico, we need more sound stages,” he said. “New Mexico has one sound stage that will be built in the near future in Albuquerque and there is a sound stage in Santa Fe that is being used for filming and student training,” said Trever. He talked to union officials about plans to build a sound stage on the ENMU-Roswell campus and leading the southern part of New Mexico in film training. IATSE has 4 million members across the United States and Trever said union members are always looking for training centers with sound stages to train new and existing members. He added that movie production companies are also asking for more facilities and pay about $500,000 to use these facilities and the salaries for 300 to 400 jobs that come with them. “The IATSE members said the doors are opening and we have their support,” Trever said.

Word series – Remove All Formatting in Two Easy Steps
Here is a great way to remove all of the formatting from a Word document or just a selected portion of the document:
1. Select the whole document by pressing CTRL+A or just select the portion of the document you wish to change.
2. Press CTRL+SHIFT+N.
Presto! All of your formatting is removed from the document or selection.

Outlook series – How to be reminded to reply to a message
Have an important e-mail that you need to reply back to as soon as possible? You can mark the e-mail to remind you so you will not forget.
1. Right-click on the message you for want to set the reminder.
2. Select Flag for Follow Up from the context menu.
3. Choose the date when you have to complete the task.
4. Click OK.

DAT file version update – To check that your computer is up-to-date with the most current versions of virusscan software, locate the blue and white shield with a red “V” in it by your system clock on the bottom right side of your screen and click on it with the right mouse button. Then choose “About VirusScan Enterprise” in the pull-down box. There are two things to look for; one is the “Virus Definitions” which should be at 4411 and the other is the “Scan Engine” which should be at 4.3.20. If either one is not displaying the above versions, please contact the Helpdesk at 562.4357 for assistance.
