Employee Briefs

Dr. Darron L. Smith, Department of Agriculture, and Alexandra Brooks, an ENMU undergraduate student, recently published an article titled“Semen Handling Techniques.” The article was published in the summer 2007 edition of Keystone Cattlemen, Issue 21-14-74.

ENMU faculty attended and presented their latest scientific research at the 6th Annual Symposium of the New Mexico IDeA Networks of Biomedical Research Excellence (INBRE) at the University of New Mexico in Albuquerque on May 17-19. Dr. Marv Lutnesky, professor of biology and INBRE Steering Committee member, was in attendance. The scientific presentations and ENMU speakers are as follows:

Dr. Zhiming Liu, biology department, Roles of Cyclooxygenase Genes during Ovulation in Xenopus laevis.

Dr. Manny Varela, biology department, Physiological Characterization of the Multidrug Efflux Pump, EmrF, from Enterobacter cloacae and of the Raffinose Permease, RafB, from Escherichia coli.

Dr. Nicholas Wright, biology department, Investigating Drosophila Mushroom Body Physiology: Initial Studies on the Involvement of Calcium in Olfactory Associative Learning.

Dr. Newton Hilliard, physical sciences department, Construction of genomic libraries and cloning of genes involved in sulfur oxidation in Halothiobacillus neapolitanu.

Various offices in Business Affairs in the Administration Building are in the process of moving.

Elaine Ennis, director of Human Resources, said, “We have combined the former Personnel Office and Payroll Office to create the Department of Human Resources. The reason for the move is to allow us to be located in
one suite rather than having one office upstairs and one downstairs.”

Offices moving include: Controller moving from Ad 118 to Ad 205; Accounting from Ad 118 to Ad 205; Student Accounts from Ad 113 to Ad 114; Accounts Payable from Ad 205 to Ad 207; Personnel from Ad 207 to Ad 113 (temporarily located at Ad 107); and Payroll moving from Ad 107 to Ad 113.

Offices not moving include: VP of Business will remain in Ad 118; and the Budget Office will remain in Ad 118.

How long the relocating process will take is not certain. It is anticipated that in two weeks most of the remodeling will be finished.

“Everyone is suffering a little bit of discomfort], but it will be better,” said Ms. Ennis.

The reorganization will allow Human Resources to streamline processes, according to Ms. Ennis. “We hope to improve efficiency through combined manpower, which will give us an opportunity to assist University staff more effectively.”

The department will expand some programs and they’ve already got some new ideas, according to Ms. Ennis. “We’re planning to create a small reference manual for managers, and improve electronic processes as well.”

According to her, the human resource staff is looking forward to the future. “We’re very excited about the transition,” said Ms. Ennis.

KENW-TV Auction Online Through June 16 – Everyone can register to bid on over 2,000 items in KENW-TV's first-ever completely online auction. Go to: auction.kenw.org and follow the instructions after clicking on "Register" at the top. The auction runs through June 16.

The auction raises money for programming costs for the public television station.

To receive a scholarship, students must be enrolled full- or part-time at Eastern, have a 3.0 cumulative GPA, and be eligible to apply for and receive a Pell Grant. Preference is given to students who have been: GED recipients, or returning military students, or adult students pursuing an education later in life, and have two years of course work left. In addition to demonstrating financial need, priority consideration is based on the candidates’ demonstrated academic potential.

Two Web-Based Technical Communication Courses Offered This Fall – In an effort to offer a greater variety of online courses, the Department of Languages and Literature is offering two Web-based courses in their Technical Communication (previously known as Technical Writing) minor this fall.

There are openings in English 325, Technical and Professional Writing, and in English 416, Report Writing. These courses are particularly useful for majors in business, nursing, communicative disorders, or any science major.

Technical and Professional Writing is designed to teach students how to write proposals, a report, resumes, and business letters. Report Writing, a specialization of Technical Communication, will provide students with the skills to write various types of reports, and focuses on providing students with practical writing experience in their major.

Gillian Andersen, who holds a master’s degree in technical communication from Texas Tech University and is currently working on a doctorate at Tech in the same field, teaches technical communication courses for the department.

Update from Hardhat Hound – The Administration Building has no air conditioning today, and is also having phone difficulties. There is a problem between the Admin. Bldg. and the SAS Building with manholes bubbling with water and/or sewage. The plumbers who were working on the problem were pulled off to go to the Science Building where the construction workers hit a gas line.

Would You Like to Join Colleagues for Summer Tennis?

Please consider joining Bob Vartabedian for tennis at the ENMU courts on Saturday mornings at 9 a.m. from June 16 through July 28 as part of your summer wellness program.

Remember, you may use your tuition waiver for this program even if you are enrolled in another class. (If you have questions related to the tuition waiver, please check with Mary Drabbs.)

To include the tennis option as part of your wellness program, please e-mail Mary.Drabbs@enmu.edu and choose one of the following:

1-credit (You need to accumulate 8 hours of activity sessions.)
2-credits (You need to accumulate 16 hours of activity sessions.)

Beginner and intermediate levels will be available. Hopefully, there will be enough people interested that teams will be paired up (mostly mixed-doubles) and partners will rotate on a weekly basis so you can meet a lot of people. A "fun" tournament will be held on July 28 with appropriate awards.

Meeting dates will be on Saturdays as 9 a.m. on June 16, 23, 30 and July 7, 14, 21 and 28. It will not be necessary to attend all seven sessions but preferably a minimum of five. Meet at the tennis courts at 9 a.m. beginning June 16 and bring your racquet (balls will be provided).

People new to the program will need to attend one half-hour orientation session that will be arranged by Mary Drabbs.

Junior and Senior Education Majors May Apply for $500 Scholarships – Junior and senior education majors may apply for a $500 scholarship offered by the City Different Retired Educators of Santa Fe. Preferences will be given to Santa Fe County or Pecos area residents and teacher assistants with classroom experience.

Fiscal Year Deadlines – June 30 is the fiscal year end and the deadlines for purchases are as follows:

Purchasing Card: June 15. Purchasing Card transaction cut off date is June 15.

Interfunds: July 6. Department Interfunds for the 2006-07 budget year need to be in the Business Office by July 6.

Journal Vouchers: July 3. JV's for expense transfers, monthly postage, telephone charges, etc., must be submitted to the Business Office by July 3.

Travel Reimbursement: Day of return to work. If traveling at the end of the June, please submit the travel reimbursement on the day you return to work.

Budget Transfer: July 3. Budget transfers for 2006-07 must be submitted to the Business Office by July 3.

Payroll CWS Redistribution: May 30. Payroll redistributions must be submitted to Payroll by May 30.

Ginger's Safety Tip of the Month

During a lightning storm:

1. Avoid contact with corded phones
2. Avoid contact with electrical equipment or cords. If you plan to unplug electrical equipment do so well before the storm arrives.
3. Avoid contact with plumbing. Do not wash hands, take a shower, wash dishes or do laundry.
4. Stay away from windows and doors, and stay off porches.
5. Do not lie on concrete floors, and do not lean against concrete walls.
6. do not stand under trees for shelter.
7. Avoid being out doors. No place is safe outdoors near a thunderstorm.
8., A house or other fully enclosed substantially constructed building, offers your best protection against lighting.
9. A car with metal roof and sides is your second best protection against lightning. Just don't touch any conducting paths leading to the outside. It's the metal shell that protects you not the rubber tires.

As dramatic and exciting as it is to see, remember that lighting has potential to cause serious injury or death even with in the relative safety of indoors. The best thing you can do to avoid lighting danger is learn and practice good lighting safety.

Outlook series - To open a multiple windows in Outlook.
• Click once to highlight the folder to be in the new window e.g. Inbox + Calendar, Contacts, Tasks, etc. Press the RIGHT mouse button, and Select “Open In New Window”
• Press ALT-F1 to remove the navigation pane (it’s already open in the INBOX window)
• Do this for each item. e.g. Calendar, Contacts.
• Using the mouse size and move the windows so each is slightly visible. This makes dragging and dropping to each window a breeze. When you drag and drop with the LEFT mouse button, you will always be asked to confirm details. e.g. date and time on appointments or contact information.
Note: It is not necessary to close each program when shutting down the computer. One reason not to: When you leave Outlook running and shut down the computer next time you start Outlook the windows return back to the same exact place and size you had when you setup.

PowerPoint series - Create Bitmap Images from PowerPoint
Want a quick way to send a single PowerPoint slide to someone? Try this: Convert the slide into a bitmap image. You can resize, crop and paste it into an e-mail message or a Word document. Here's how:
• Open the slide you want use as an image.
• On the View menu, click Notes Page. The slide will appear on the notes page as an image.
• Right-click the slide image then click Copy on the shortcut menu.
The image is now stored on your Clipboard, and you can paste it as a resizable object into any Office document.

DAT file version update – To check that your computer is up-to-date with the most current versions of virusscan software, locate the red and white shield with a red “M” by your system clock on the bottom right side of your screen and click on it with the right mouse button. Choose “VirusScan Enterprise” in the pull-down box. Then choose “About VirusScan Enterprise” in the pull-down box. There are two things to look for; one is the “Virus Definitions” which should be at 5024 and the other is the “Scan Engine” which should be at 5100. If either one is not displaying the above versions, click on the red “M” again with the right mouse button, then choose “Update Now” in the pull-down box. This will open a dialogue box displaying the status of the update process. Once complete, close the dialogue box and rerun the “About VirusScan Enterprise” option as described above. If the version is not at or greater than the one above, please contact the Helpdesk at 562.4357 for assistance.

Telephony- Muting a call:
This will allow you to hear the other party but they cannot hear your side of the conversation.
To activate: Press the “Mute” key.
To cancel: Press the “Mute” key again.

Senator Domenici seeking fall interns for Washington D.C – The Fall 2007 internship session will run from August through December. Participants will have the opportunity to take part in the various facets of Domenici’s office by working in each of the office’s areas including those related to constituent services, legislation, and communications. FERPA Form Now Online – The University has developed a Family Educational Rights and Privacy Act (FERPA) Academic Information Release form for student use when they wish to allow someone to gain access to their academic records. Requisition for Employment and Hiring Recommendation Form – Requisition for Employment and Hiring Recommendation Form are now available online via the intranet at: http://inside.enmu.edu/forms/index.php . Please make a copy for your records, if necessary, before forwarding the original for signature. For assistance, call Personnel Services at 2115.

New Employees Must Complete I-9 Form – All new employees (faculty, professionals, support staff, student hires, work study students and graduate assistants) must report to Payroll (if a student employee) or Personnel Services (all other employees) before starting to work. All employees must complete an I-9 (eligibility to work in the US) and Drug Free Workplace form prior to commencing work. New employees cannot be paid until these forms are completed. Employees must present identification required by the Department of Homeland Security when completing the forms such as: i.e., driver's license and social security card or passport. Please contact Personnel Services at 562.2115 if you have any questions.

Self-Study Draft on the Web – ENMU's Self-Study drafts and other materials for ENMU's re-accreditation are now available on the web. See http://inside.enmu.edu/self-study/index.php and http://www.enmu.edu/self-study/. Please use the feedback forms to provide your comments. The self-study needs to be as accurate and valuable as possible.

Calendar Items Being Accepted – University Relations is accepting calendar items for the online 2006-2007 University calendar. Calendaring your department's events helps everyone to be aware of what's happening around the University, and it helps your department when scheduling dates for new events. Take advantage of the easy, online process by sending all your calendar requests to calendar@enmu.edu. Please direct questions to Betsy Chavez at betsy.chavez@enmu.edu or call 562.2134.

Travel Voucher Available on Intranet – The Travel Voucher is now available on the intranet as a PDF form. You will need to make a copy for your records before submitting the original to the Business Office.

The Requisition is also available on the intranet as a PDF form. A requisition number will automatically be assigned when the form is opened. You will need to keep a copy of the requisition before sending it to the Business Office. If you need to prepare a second requisition, use the back key on the browser to go back to the menu and select Requisition again. When you go back in, the form will have another number. For this reason it is not recommended to "view" the form.

To access the Travel Voucher and Requisition, go into the intranet [http://inside.enmu.edu/] or go to ENMU home page, click on Faculty and Staff]; click on Forms; click on Business Office and then click on either Travel Voucher or Requisition.

The Business Office will have a supply of Travel Vouchers and Requisitions until depleted.

Absence Report Form Available Online—The Report of Absence for Exempt Employees professional and at-will form is now available on the intranet under Personnel forms. If you have any questions, contact Personnel Services at 562.2115.

Please Help Save Energy—As many of you are aware, the University is experiencing major increases in utility costs. The electric bill through March is approximately $230,000 higher than last year. Please help to conserve electricity by shutting off lights in classrooms, dorm rooms, offices and other areas when not in use. Thank you.
