The purpose of this position is to perform a variety of program and administrative support functions for the Veterinary Services (VS) New York Animal Import Center (NYAIC) and JFK Port Office.

EDUCATION

GS-04 Successful completion of two full years of post-high school education, in any field, obtained from an accredited college or university.

GENERAL EXPERIENCE AT THE GS-04 GRADE LEVEL:

Applicants must have one year of progressively responsible clerical, office, or other general experience to the next lower level in the Federal Service. This experience may have been obtained in the private or public (local, county, state, Federal) sectors.

Duties: Communicates and coordinates with importers and States in the creation of import permits.
Communicates and coordinates with importers to ensure all necessary information and documentation are on-hand to facilitate the movement, quarantine, and release of animals at the NYAIC.
Creates, organizes, and ensures completeness of animal import records. Files, maintains, and archives records in accordance with local procedures and USDA policy.
Monitors and manages import request and animal release documentation within a web-based VS import management system.
Routes and reconciles various records and forms related to the movement of animals.
Collects and enters animal import data into Excel-based logs.
Maintains stocks of forms and supplies. Monitors inventory, replenishing when necessary to maintain required levels; advises Administrative Officer of ordering needs to avoid out of stock situations for critical forms and supplies. Receives and stocks shipments of supplies.
Receives time and attendance reports from NY AIC and JFK staff and enters into automated system for transmission to the National Finance Center (NFC).
Reconciles discrepancies or errors reported back from payroll system and inputs and transmits corrections as necessary.
Performs leave audits as requested.
Receives telephone calls and greets visitors, ascertains the nature of the calls or visits and, based upon knowledge of the organization and its programs and operations, refers callers and/or visitors to appropriate staff or office.
Opens and routes incoming correspondence, materials, and publications, screening to determine the appropriate handling and delivery for each item.
Dispatches outgoing mail.
Receives all deliveries and notifies and/or routes shipments to the appropriate personnel.
Prepares draft and final committee and staff meeting minutes as requested.
