Job Summary: Responsible for secretarial and administrative duties in direct assistance with Public Safety Communications. Work involves public contact and exercise of independent discretion.
Handles confidential information with appropriate discreetness. Handles administrative details for Public Safety Communications Department.
Qualifications: Background: Must complete a background check as required for personnel in Emergency Communications Public Safety Communications.
Education: Possess a high school diploma or G.E.D. certification.
Experience: Three years (3) progressively responsible secretarial or office experience. Work related college courses may be substituted for up to one (1) year secretarial experience.
Certification: Possess a valid Texas Driver License. Must be TCIC/NCIC certified within 6 months of hire.
Duties: 1. Handles matters personally or directs caller to appropriate authority.
2. Monitors office work flow to ensure its timely completion.
3. Assists the Training Supervisor with filing of training records and typewritten materials.
4. Drafts routine correspondence and other typewritten materials for the directors and edits for grammar, punctuation and spelling.
5. Maintains office records of expenditures.
6. Maintains and updates files and records.
7. Maintains appointment calendar, schedules meetings, and makes travel arrangements.
8. Directs flow of incoming and outgoing correspondence.
9. Operates Dialogic Communicator (DCC), photocopier, word processor, and other light office equipment.
10. Performs entry of TCIC/NCIC data.
11. Maintains office and handles or refers requests in absence of director of department.
12. Stocks office supply inventory.
13. Completes forms, vouchers, and file notes appropriate to operation.
14. Performs other specialized tasks as assigned.
